Privacy Policy

We collect information you provide and information generated as you use the Services, including:

• Account & contact information — name, business name, email address, and password.
• Mobile phone number — when you choose to receive text messages from us.
• Project & business data — estimates, jobs, documents, photos, and financial records you enter.
• Usage & device data — log data, device and browser information, and cookies used to operate and secure the Services.

We use information to provide, secure, and improve the Services; to communicate with you about your account and jobs; to process payments; and to comply with legal obligations. Phone numbers submitted for text messaging are used only to send the messages you requested (see SMS section below).

We do not sell your personal information. We share information only with: (a) service providers who process data on our behalf under contract (hosting, payments, email, SMS delivery, and the AI provider described in section 5); (b) authorities when required by law; and (c) a successor entity in connection with a merger or acquisition. As stated above, SMS opt-in data and consent are never shared or sold for third-party marketing.

Two parts of BuildLedger can use AI to draft text for you: field-log summaries, which turn a project’s daily logs into a short narrative, and automation drafting, which turns a sentence you type into a starting workflow. Both are optional, and both are labelled in the app wherever their output appears.

When you use one of them, we send the relevant text to Anthropic, which runs the Claude models, and it returns a draft. For a summary, that is the log entries for the project and date range you chose. For automation drafting, it is the sentence you typed. We do not send your customer lists, financial records, invoices, or uploaded documents. Anthropic acts as our service provider, and under its commercial terms your data is not used to train its models.

AI output is a draft, not a decision. It can be incomplete or wrong, so check it before you rely on it. Summaries are visible only to people in your workspace, and an AI-drafted automation does nothing at all until you review it and save it yourself. We do not use AI to make decisions about your pricing, your billing, or your account.

Where AI is not switched on for a deployment, nothing is sent to Anthropic and these features fall back to drafts generated from your own data on our own servers.

We retain information for as long as your account is active or as needed to provide the Services and meet legal obligations, then delete or anonymize it. We use industry-standard administrative and technical safeguards (including encryption in transit and access controls) to protect your information.

You may access, correct, or delete your account information, and opt out of marketing communications at any time. Depending on where you live, you may have additional rights under applicable privacy laws; contact us to exercise them.

Some browsers and browser extensions can send a Global Privacy Control signal on your behalf — a standard way of telling every site you visit that you do not want your personal information sold or shared, and that you do not want to be tracked for advertising. BuildLedger honors that signal.

When we receive it, we treat you as opted out of the sale or sharing of your personal information for targeted advertising, and we switch off non-essential product analytics for your visit — the analytics tool is never started at all, so nothing about how you move through the app is collected. We remember the preference in your browser so you do not have to re-send it on every page.

What the signal does not do: it does not stop the messages you asked us for (such as job-status or billing texts and emails), and it does not stop transactional or service email about your account — those are part of providing the Services, and you can change them from your account settings or by replying STOP to a text. It also does not disable the error monitoring we rely on to keep the Services working, which records technical fault details rather than a profile of your behavior.

BuildLedger is business software, and we do not sell personal information in any case (see section 4). We honor this signal as a default because it is the right way to treat a preference you have taken the trouble to express, not because we are claiming any particular regulatory status.
